To clarify the eligibility of the University's travel guidelines, the travel supported by the Universität is hereby designated as: wholly or partly funded by the Universität; directly or indirectly funded by the Universität; organised by the Universität, with subscribers or patrons funded; organised by others outside the Universität and funded by the Universität; funded by the Universität in the forms of name, organisation, communications, administration, staff, transport or facilities.

You should use Concur as the contractual self-booking tool and Fox World Travel as the university's only source for paying university fares. Reducing or curbing travel expenses at the university and increasing the standard of service: Consolidate volumes with Fox World Travel and priority carriers to bargain university travel benefits and save through higher rebates.

Support of university travellers in an emergencies through "Duty of Care". Travellers are obliged to make flight bookings using travel times and itineraries, flight plans and airlines with the cheapest fares. If extra travel time is added because the traveller decides to mix face-to-face travel times with travel for work, the traveller shall bear any extra cost resulting from the addition of non-business travel time.

Flight coupons must be bought at the "lowest logic fare" available at the moment of reservation. University' s Guideline for "lowest logic fare" is the cheapest fare within the University's pricing tolerances for a non-refundable bus/economy ticket. Flight bookings for university-funded travel must be made through Fox World Travel, either through an agent or through the Concur Self Booker.

Concur's self-booking tools provide results that are calculated at the least possible costs and correspond to the traveler's chosen time slot. Automating the university's "lowest logic fare" directive within Concur offers a $150 margin above the least expensive rate. Travelers can set their own schedules and determine the best route for efficient travel, thanks to the university' s own tolerances.

If the travel agency cooperates with a Fox World travel agency, it offers the traveller the cheapest rates logic at the moment of reservation and, if the traveller chooses a more expensive trip, it records the price differential for report use. Exemption bulletins are submitted to the travel agency of the organisation on a regular quarterly case-by-case base.

Permitted airline ticket payments include university travel tickets and company travel tickets with individual responsibility. The university may only pay air fares and associated charges in advance in accordance with the guidelines. As of July 1, 2015, flights acquired outside of Concur or Fox World Travel will no longer be eligible for university funding or reimbursement.

Non-political expenses are either covered by university funding or reimbursed: Sanctions or extra charges for cancellation or changes beyond the employee's reasonable reasonable controls. Please note: Ticket purchases made within Concur, Fox World Travel, or the UW System Administration Travel Agency may be canceled and refunded until 5:00 p.m. on the next working weekday following the date of ticket receipt without any airline reimbursement or fine.

Profits from all advertising campaigns of airlines, such as free flights for many flyers, merchandising, etc.. are part of the university and must be used by travellers for university-related travel in the course of prospective visits. The advantages resulting from the dumping may be withheld by the staff member provided that the alternate trip resulting from the dumping does not entail any downtime or extra travel expenses for the university.

No compensation will be provided to staff for the use of free travel gift certificates, gift certificates for bundling, rebate tickets or other value tools for work. All rebates or inducements acquired through travel purchased or recreational travel must be used for travel in the individual's own time. Travellers who are eligible for government funding are required to understand the Fly America Act/Open Skies Agreement before making travel bookings.
